How To Sync Policies From Your Connected Tools

This article will walk you through how to sync policies from your connected tools, like Google Drive, Confluence, or SharePoint to Scytale

Introduction

The policy sync feature lets you connect existing policies from tools like Google Drive, Confluence, and SharePoint directly to your Policy Center in Scytale. 

This helps you keep everything up to date automatically—any changes made in the original tool will sync to Scytale without manual uploads.

It’s especially useful if your policies already live in an external tool and you prefer not to recreate them in Scytale. You can also link each synced policy to relevant Monitorings, so the policy is instantly added as evidence there.

 

Step 1: Connect Your Integration

You can sync policies from Google Drive, Confluence, or SharePoint.
Before syncing policies in the Policy Center, make sure you’ve connected the relevant integration in the Integrations screen.

 

Step 2: Sync Policy From Your Integration

1)  In the Policy Center, locate the policy you want to sync from your connected tool. Click the three-dot menu next to the policy and select "Sync from Integration." 

2) From the dropdown, choose the integration you’d like to sync the policy from.

3) Enter the URL of the policy from your connected tool, then click "Next." 


 

4) Choose how you want to manage the policy:
At this stage, you’ll decide where the policy will be actively managed and controlled—either within Scytale or in your connected tool.

You have two options:

  • Manage in Scytale
    This means Scytale will take full control over the policy lifecycle. Approval tracking and employee sign-offs will all be handled inside the platform. This is ideal if you want centralized control and clear visibility into who has approved each version of the policy

  • Manage in the connected tool
    In this case, version history and approvals will be managed in the external platform (e.g., Google Drive, Confluence, or SharePoint). Scytale will reflect updates automatically, but you’ll be responsible for handling sign-offs and versioning directly within your tool.

Note: Any changes made to the policy in the connected tool will still sync to Scytale, so the latest version is always visible in the platform.

Choose the option that best fits your team's workflow and compliance needs. Once selected, click "Sync Policy" to complete the process.

 

Send Out Policies To Be Signed

From the Policy Center, you can easily send out policies to be reviewed and signed.

  1. Click the three-dot menu next to a policy and select “Send Out Policies”.

  2. A modal will open, prompting you to choose which groups you want to send the policy to. Choose the groups from the dropdown.

  3. Only employees assigned to the selected groups will receive the email.

If you need to customize employees assigned to groups, you can add or remove people from groups in the People screen.

Once you send out the policies, employees will receive an email prompting them to review the policy and sign it in Scytale.

Tip: Make sure the correct policies are assigned to each group in advance by visiting the Groups tab.
